The Financials Pending tab displays a table of all pending transactions. These are the participants who currently owe your Organization a payment.
These pending payments will appear in each participant's checkout cart. They can submit payment themselves or you can manage the process in the management area.
User Submits Payment Directly
As they submit payment, the transaction will move from the Pending table to the paid Transactions tab and table.
1. Create Transaction. Click "Create" button to and begin creating a transaction, which is processing a payment. See #4-8 below for more details regarding processing the transaction.
2. Add-on New Invoice. If you need to add a charge to a participant, click New Invoice. This will create a charge and add it to the participant's checkout cart. They can submit payment online via their Checkout Cart or you can checkout them out if they have a credit card on file. Invoices are typically used for small add-on charges like shipping or delivery.
3. Charge all Credit Cards. This is our Auto Checkout feature. When you're ready to charge all credit cards on file for the participants who currently have pending transactions, simply click the Charge all Credit Cards button. Transactions are processed in batches and may take a few minutes to fully process. Refresh the page to see changes.
IMPORTANT: You must activate "Require credit card to participate" in your Financial Setup tab in order to require participants to enter a credit card, have them on file, and Charge all Credit Cards.
Process Transaction
When you click "Create" button above, you will be taken to the transaction page for that user. This page will include all Pending orders for the user.
4. Remove from this transaction.
If the payment being received is not for all items, you can remove individual items from this transaction. Removed items will remain in Pending.
5. Payment Type.
Check the box of the payment type being received. Cash, check, or other would be offline payments. "Other" can be used when you have accepted payment via another credit card method outside of CausePilot. Choosing Manual Stripe Transaction will open a credit card entry form to add the credit card information manually.
6. Pass Forward Fee.
Choose for the user if they will accept or decline the pass forward fee as part of the transaction.
7. Create Transaction.
This will process and save the pending order and create a paid transaction. The user will receive a Payment Receipt by email.
8. Credit Card on File.
If the user has a credit card in the system, you can click this button to charge the card on file.
TIP: On occasion, you may have a credit card that does not go through when you click "Charge all Credit Cards". In some instances, if you create the transaction manually, and charge the card on file, it will go through. If neither of these methods work, the user will need to either contact their credit card company or provide another form of payment.
