Tickets List


The Tickets tab provides a list of all of your ticket holders.


1.  Edit.  To edit the ticket or group of tickets click the edit icon (pencil).  This will open a page where you can see all of the tickets and change ticket holders.



        a.  Ticket Level.  You can change the ticket level but this will not change the price of a ticket already paid for. To upgrade or downgrade a ticket, you'll need to manage that separately either by refunding the original ticket and creating a new one or creating an invoice (financials pending area) to charge a user for an upgrade to an existing ticket.


        b.  Purchaser.  You can change the user assigned as purchaser; however, be cautious about doing this when the purchaser is the correct person who paid for the tickets.  The tickets themselves can be changed without changing the purchaser.


        c.  Ticket Holders.  The ticket holder name is strictly the name on the ticket and does not refer to a CausePilot user account.  The name can be different than the assigned ticket holder.


        d.  Assigned Ticket Holder.  This is the user with a CausePilot account that is assigned to this ticket.  As states above (c.) you can change the name without changing the user.  The user is who holds the bidder number and whose credit card, if on file, is being used.  An example would be a couple that wants to use the same CausePilot account, but you'd like to know each of their names.


        IMPORTANT:  To give a ticket holder their own bidder number and allow them to add their own credit card, you must change the user with a new email address.


2.  Purchaser.  Name and email address of the purchaser of the ticket or group of tickets.


3.  Show Tickets.  To see all tickets under this ticket purchaser, click Show Tickets and you can see and edit the ticket holders and check them in.


NOTE:  #1. and #3. above allow you to edit ticket holders.  However, only #3. provides check-in feature.


        e.  Hide Tickets.  To close the accordion style list, click Hide Tickets.


        f.  Ticket #.  This is the ticket number assigned to this ticket holder.  Each ticket has a unique number.


        g.  Check In.  Click the Check In button to check the ticket holder in.  If a credit card is required and no credit card is on file, a modal to enter the credit card will open.  If no credit card is required, clicking the Check In button will place a time-stamp that the ticket holder has checked in.  


        IMPORTANT:  You cannot UN-Check someone in.  So, be sure to only click the Check In button when you intend to permanently check someone in.

        h.  Edit.  Click the edit icon (pencil) when you want to change an individual ticket holder's information, either the name only or the account that is being used.  You must change the account, which means adding a new email address, in order to create a new bidder number and a separate payment method.



        i.  Bidder #.  The bidder number is unique for each CausePilot account with a ticket.  


        IMPORTANT:  Ticket number and Bidder number are different.  Bidder numbers are not required for online and mobile auctions.  They are only necessary when hosting a live auction or bid sheet auction.  When entering winning bids manually, you must use the bidder number assigned through CausePilot.  See Bidder Numbers under Auctions for further instructions.


4.  Level.  Shows which ticket level the purchaser ordered.


5.  Payment Status.  Shows current payment status.  If Paid, you'll see a the amount and a "View" link that, when clicked, will open the paid transaction in the financials area.  If Pending, you'll see a "Create" button with the amount.  When clicked, it will open the pending transaction where you can mark the order paid.  See Financials area for further instructions on creating a transaction.


6.  Actions.  Currently, the actions button provides a way to sync new questions when they are created after tickets have already been purchased.


7.  Search.  Enter the name of the person whose ticket you are looking for.  


TIP:  When purchasers do not include their guests information, all tickets will be in the purchaser's name.  If you search for a ticket holder and they are not in the list, it's best to ask them if the ticket was purchased for them and by whom.  Then, find the purchaser and change the ticket holders accordingly.


8.  New Ticket Order.  When you need to add a ticket manually for a guest, click New Ticket Order.


        j.  Ticket Level.  Choose the ticket level the purchaser wants to buy.


        k.  Lookup User.  Click Lookup User to select the user account from your Contacts list or create a new user/Contact.  All tickets must be assigned to a CausePilot account.  See Lookup User in CausePilot 101 for more detailed instructions.


        l.  Purchase Expiration Date.  If the purchaser is going to pay for the tickets on their own, via the website, you may want to add an expiration date.  This cancels the tickets if they haven't paid by the date/time.  Leave this blank if there is no expiration date.


        m.  Discount Code.  Enter the discount code if one is to be applied.


        n.  Confirmation & Payment.  Check the box Send if you'd like CausePilot to send the user an email confirming the tickets have been ordered with a link for them to complete the purchase online.  When you create the ticket order, it will appear in the user's checkout cart.  The link in the email will send them to their checkout cart to submit payment.


        o.  Create Ticket & Process Payment.  Click the Create Ticket button to place the order in a pending status awaiting payment.  Click the Create Ticket and Process Payment button if you'd like to create the ticket order but also mark the tickets paid in the transaction.  See Financials for further instructions on creating a transaction.
