Ticket Check In


When you want to track guest entry into your event, you can use the ticket check in feature.  This feature allows you to confirm that the guest has a ticket, that it's assigned to them, and when requiring a credit card to participate, make sure there's a credit card on file.

How to Check Guests In


1.  Search.  Search for the guest's name in the list.


2.  Payment Status.  Make sure the tickets are marked Paid.  If not, create the transaction and accept payment before entry into the event.  See Financials for more detailed instructions on processing a payment.


TIP:  If necessary, click Show Tickets or Hide Tickets to open or close the list of tickets under a particular purchaser.


3.  Check In.  The Check In button will:


If a credit card is required to participate (Financials > Setup tab), and one has not yet been entered, a modal will open where you can enter the ticket holder's credit card before checking them in.



IMPORTANT:  Ticket holder says they do not have a credit card and/or they would prefer to pay by check or cash at the end of the event.  If you are willing to make exceptions, check the box "No credit card required" in the above Credit Card modal and no credit card will be required for this ticket holder to participate.


Upon Check In, a time stamp will be added to show that the ticket holder has been checked in.



4.  Edit Ticket Holder.  Click the edit icon (pencil) next to the ticket holder name to edit the ticket holder's name or change the user.  


        Name Only.  If you edit the ticket holder's name only, they will still be using the original ticket holder's CausePilot account, bidder number, and credit card on file. 

        New Ticket Holder.  Change the user to select if they are already in the system, or give them a new CausePilot account and ability to add their own credit card before checking in.


TIP:  If you want to change all of the ticket holder's on a group ticket at once, use the edit icon next to the ticket purchasers name to open a list of all tickets.

5.  Self Checked In.  When you see a button that says Self Checked in, instead of just Check In or Guest Check In, that means that the Self Check-in feature is active and this person has take the steps to make sure all of their tickets have been assigned and, if a credit card is on file, they have added it.  See Tickets Self Check-in for more detailed instructions on this feature.


6.  User Name Italicized.  When you see a user or ticket holder's name in italics, that means that the name is different than the CausePilot user account that is being used.  This generally happens when it's a couple, for instance, and the name has been changed but they will use the same account, bidder number, and credit card.

Quick Check-in.  An alternate way to check in guests is Quick Check-in.  This feature is best used when all ticket holders are already in the system and you sell very few group tickets.  You'll find this feature under Contacts > Quick Check-in tab.  See more detailed instructions for page under Contacts.


Guest wants to change the credit card that is currently on file or doesn't want to use one at all?
You can do so in Quick Check-in above or they can do it themselves by clicking the Account icon in the upper right menu (looks like a head) and choosing Purchases in the drop-down menu.  There they will see the current credit card on file and can update that credit card with another.  For not using a credit card at all, see #3 "Important" notation above for more information.


TIP:  If they pay on their own at the end of the event, they can choose to use a different credit card at that time.  The credit card on file will only be charged when you (Admin or Manager of the Flight) click the button in Financials > Pending tab to charge all credit cards.
